What is an NF-e? 

You may have wondered what an NF-e is and how it revolutionized the business world. The Electronic Invoice (NF-e) is an electronic document introduced by Sinief Adjustment 07/05, responsible for simplify your product sales operations and provision of services, all electronically. 

Why is NF-e essential for your business? 

Nowadays, business owners have their routines made easier by the electronic issuance of the NF-e. All they need to do is access the system that generates the XML of the electronic invoice on their computer, transmit it to the competent authority and send this document to their client at the end.

In just a few clicks, you can consult the NF-e data through Electronic Invoice Portal and view data from the XML file, from invoices cancelled and authorized by the system, among other information. This query is performed using an electronic access code, consisting of 44 digits and present in the DANFE, the Electronic Invoice Auxiliary Document.

The NF-e not only simplified the issuance of invoices, but also represented a major leap in innovation for the Federal Revenue Service. It allows companies to streamline their processes, save time and resources, all while complying with tax regulations. 

Issuing NF-e: how does it work? 

Unlike traditional invoices, which require physical paper, the NF-e is generated in XML format, which facilitates the circulation of goods and simplifies business life.  

This way, you don’t have to worry about complicated paperwork or lengthy processes – the NF-e is issued and stored electronically, providing practicality and efficiency.  

Example: Imagine you are the owner of a software company that develops and sells an online financial management application. Your client, Company X, has just purchased an annual license for your software. Here is how the NF-e issuance process would work in this scenario. 

Registration and Configuration: 

You have already registered your company in the Federal Revenue Service environment and configured your NF-e issuing software to include the necessary tax information, such as CNPJ, state registration, etc. 

Sale Record: 

Your client, Company X, has decided to purchase an annual license for your software for R$$500.00. Therefore, you record this sale in your system, including the details of the product or service sold, the amount, the client's CNPJ and other relevant information. 

Issuing the NF-e: 

Using the NF-e issuing software, you fill in the sale details, such as product description, value, payment method, and other requested information. The software automatically generates the NF-e based on this information. 

Digital Signature and Transmission: 

Before sending the NF-e to the IRS, the issuing software digitally signs it to guarantee its authenticity and integrity.

After signing, which was previously configured by you, the NF-e is transmitted to the Federal Revenue Service environment via the internet, where it is validated by the system. 

Authorization and Return: 

The IRS validates the NF-e. If all the information is correct, they issue an authorization for the NF-e, confirming its fiscal validity. The issuing software receives this authorization and stores it together with the issued NF-e. 

Sending the NF-e to the Customer: 

The authorized NF-e is automatically sent to Company X's email and can also be consulted online on the Federal Revenue website, offering total transparency to the customer. 

Secure Storage: 

Invoices must be stored by both companies and customers for at least 5 years.. It is important to store the NF-e and the XML file (which contains the NF-e and its digital signature) in a safe place, as required by law, for future reference and audits.
